Information on Personal Data Processing

PURPOSES AND LEGAL BASIS FOR PROCESSING

As the organizer, DESIGNWAYS CONF Sp. z o.o., with its registered office at al. Powstania Warszawskiego 15, 31-539 Kraków, acting as the Personal Data Controller, will process the personal data collected based on the purchase form and as a result of participation in the Conference. The personal data will be processed:

  1. Based on Article 6(1)(a) of the GDPR for the purpose of:some text

The Personal Data Controller has the right to use the image of participants based on the terms described in Terms & Conditions | WaysConf.

The use of the image will be carried out until the consent is withdrawn.

    1. Preparing and concluding a contract

The data provided in the WaysConf 2024 - Connecting Minds, Sharing Knowledge (hereinafter referred to as the Conference) purchase form is processed for the purpose of taking actions aimed at concluding a participation agreement in the Conference, including enabling payment through the functionalities provided by third parties.

In this case, the processing of personal data is carried out based on Article 6(1)(b) of the GDPR.

If payment is not made, the data will be immediately deleted, and the registration process for the Conference will be withdrawn.

  1. Performance of the contract

The collected personal data will be used to properly perform the contract, including informing about any changes and news related to the Conference.

  1.   In order to provide electronic services

In the case of opting for online participation in the Conference, the collected data will be used to prepare tools that will ensure online access to the Conference content.

  1.   In order to process complaints

In case of reporting inconsistencies with the content of the contract, the processing of personal data will aim at considering the reported complaint and its handling.

Data collected for the above purposes will be processed for no longer than 3 years from the year following the year in which the Conference took place.

  1. Based on Article 6(1)(c) of the GDPR for the purpose of fulfilling tax and accounting obligations, to which the Personal Data Controller is obligated.

In this case, the collected personal data will be processed for the period required by tax law, but no longer than 5 years.

    1. Pursuing or defending claims

If such a need arises, the Personal Data Controller, as the Conference organizer, will process any collected personal data for the purpose of pursuing or defending claims, which is a legally justified interest of the Personal Data Controller

  1. Broadcasting the Conference

In this case, processing of personal data will be carried out for the purpose of broadcasting the relations of the Conference and informing about the course of the Conference in the media, including social media, which constitutes a legitimate interest of the Personal Data Controller.

  1.   Direct marketing

Collected data, especially the email address, may be used by the Personal Data Controller for direct marketing of its goods and services.

  1.   Communication with interested parties

Processing of personal data related to any communication initiated by you, for example, to obtain information about organized events, Conferences, statutory activities, or services, is a legally justified interest of the Personal Data Controller associated with providing a response to the question asked or resolving the matter with which the interested party has approached us.

  1.   Statistical data and satisfaction survey

Collected data may also be processed for analytical and statistical purposes and customer satisfaction surveys, which constitutes a legally justified interest of the Personal Data Controller

Data collected for the above purposes will be processed until their achievement or until the legal basis for processing expires.

DATA RECIPIENTS

Collected personal data may be shared with entities processing data on behalf of the Personal Data Controller for purposes specified in the agreement, including IT service providers, accounting firms, payment intermediaries, and other entities authorized based on the law.

The Personal Data Controller does not plan to transfer personal data to countries outside the European Economic Area; however, visual materials related to the Conference published online, including images of participants, will also be available to users worldwide.

RIGHTS OF THE DATA SUBJECTS

We inform that participants of the Conference have the following rights related to the processing of personal data:

  1. The right to access personal data.
  2. The right to rectification of data if it is outdated, incomplete, or incorrect.
  3. The right to erasure of personal data if there are no further legal or factual grounds for their processing.
  4. The right to restriction of processing, involving limiting the processing of personal data solely to their storage or carrying out agreed actions.
  5. The right to object to the processing of data used for marketing purposes or processed for other purposes based on Article 6(1)(f) of the GDPR.
  6. The right to data portability, which can be exercised when processing is carried out based on consent or for the purpose of contract performance in an automated manner.

FILING A COMPLAINT WITH A SUPERVISORY AUTHORITY

Participants have the right to lodge a complaint with the competent supervisory authority.

WITHDRAWAL OF CONSENT FOR PERSONAL DATA PROCESSING

A participant has the right to withdraw consent for the processing of personal data at any time. Withdrawal of consent shall not affect the legality of the processing, which was carried out by the Personal Data Controller before its withdrawal.
